Your time and talent is a community treasure at Art.A.Fair Carthage!

Thank you for joining our inaugural event. We hope that weather and community are extremely friendly and a great festival is on the way. You are truly what will make this event great!

Here are a few event details for all our artists and participants:

Weather:

Art.A.Fair is a rain or shine event. The committee works closely with emergency personnel and monitors weather with the assistance of weather apps and guidance from the Carthage Fire Department and/or the National Weather Service. We may temporarily close the event due to lightning or severe weather if advised. Artists and vendors should secure their tents and belongings and go to any business on the square or the Courthouse restrooms for safety in the event of an emergency.

Set Up:

We have a map! It should be available on our website artafaircarthage.org by Wednesday, April 10 and will be in print on the square when you arrive. It will identify each booth & tent location. You will also be issued a name badge on arrival. Return name badges to a volunteer or to Koka Art Gallery at the end of the event to enter the door prize drawing.

Set up for artists, non-profits, and businesses is from 6 am to 9:30 am.

All cars, trucks, and loading equipment should be off the square by 9:00.

If you ordered a tent, it will be set by 7 am for your arrival.

Set up is restricted to a 10×10 space marked out by the committee for each participant. Please keep all your materials inside your space perimeters and tented areas. Chairs and or one attractive welcoming piece or item outside the entry way of a tent area is the only exception. Entryway into a tent area should be inviting, but not cluttered.

Artists are expected to spend the majority of their time in their booth for the day. Booths should not be left unattended at any time. Volunteers will offer to sit with your booth throughout the day and artists may text 417-529-7742 for a volunteer to cover their space for quick breaks. No items will be sold in the artist’s absence.

Keep the area around your tent clean and accessible. Pedestrian traffic may be in front, behind, and/or either side of artist space. Do not stack boxes or clutter behind your tent.

The square will be closed, but available for loading and unloading. Please do not leave trucks on the square while setting up. All cars, trucks, and loading equipment should be off the square by 9:00. Traffic will resume on the square at 5:15 p.m. for loading after the festival. NO early takedowns or cars on the square to load prior to closing will be permitted.

Unloading and Tent Set Up

All tents need to be weighted on all corners with 20 pounds of weight and prepared for weather and foot traffic. Pop up tents installed by participants may not be nailed in any way to the pavement or lawn. All tents rented from the Art.A.Fair committee will have weights, but you may choose to add more weight to those tents as well.

Parking:

Artists and participants should park in the school parking area that is northeast of the auditorium on 7th & Main Street. There will be plenty of room for trailers as well.

Taxes:

The tax rate for Carthage is 8.2%. Artists and vendors should collect and report all taxes collected to the Missouri Department of Revenue. Art.A.Fair is on April 13 on the Historic Carthage Square. The address of the square is 300 S. Main, Carthage, MO 64836.

Hospitality:

Artists and vendors can drop in to The Palms Massage and Day Spa on 341 Main Street. The back room will have light snacks, water, and coffee for registered artists and vendors.

The Carthage Deli at 301 S. Main is offering 25% off food for artists and performers on April 13. Must show name badge.

Restrooms are located in the Courthouse Basement and various businesses around the square. Please direct the public to the restrooms in the Courthouse Basement.

Door Prizes:

The Art.A.Fair committee will offer door prizes. Businesses, artists, and non-profits may donate door prizes to the committee for distribution. All donors should deliver pieces with written instructions including name of donor and estimated value to Koka Art Gallery at 409 Main Street by 9 am on Saturday, April 13. All donations will be photographed, credited to the donor, and given away at the event and acknowledged on Facebook. Register to win at Koka Art Gallery and return your name badge to win vendor exclusive prizes.
